Asset Management Oversight

For owners of multifamily, mixed-use, or commercial property who suspect their property manager isn't actually working for them.

Most third-party property management is mediocre. Some of it is worse than mediocre. The reasons are structural: the property manager is paid a percentage of collected rent, which creates almost no incentive to push rents, no incentive to control expenses, and a positive incentive to keep the building 95% occupied at below-market rents rather than 90% occupied at market rents. The owner ends up with a building that runs — but doesn't perform. Asset Management Oversight is the principal-level layer that sits above the property manager and runs the asset the way the owner would run it if the owner had time.

Who This Service Is For

Who This Service Is For

  • Owners of 5-to-50-unit multifamily or mixed-use property where third-party management is in place but performance is uncertain.
  • Family offices and high-net-worth principals with direct real estate ownership where there is no in-house asset management function.
  • Family businesses where the real estate is now worth more than the operating business, and the next generation does not want to run the operating business.
  • Owners who have inherited or acquired a portfolio and want a structured ongoing review of how it is performing relative to its potential.
  • Owners considering a recapitalization, refinance, or sale within the next 12-to-36 months who want the asset performing at its peak when the transaction happens.

THE PROBLEM WE SOLVE

What you're up against

The owner-property-manager relationship is structurally misaligned. The property manager wants the building easy to manage. The owner wants the building maximally profitable. Those are different goals. Without a senior person sitting above the manager reviewing the rent roll, pushing on the renewal schedule, auditing the expense report, and asking why the vacant unit has been vacant for ninety days the building will drift toward 'easy' and away from 'maximally profitable.' The drift is invisible month-to-month and obvious in retrospect.

WHAT'S INCLUDED

What this engagement includes

  • Monthly performance review. We review the rent roll, the operating statement, the leasing pipeline, and the maintenance log, and we flag anomalies.
  • Quarterly asset review. We pull the building's full financials, compare them to budget and to prior periods, and report on what is on plan, what is behind, and what to do about it.
  • Renewal and rent strategy. We set the renewal letter cadence, the rent increase strategy, and the timing and hold the property manager accountable to executing it.
  • Vendor and expense audit. We review every recurring vendor contract, every utility bill, every insurance renewal. Properties routinely have $5,000 to $20,000 per year of recoverable savings hiding in expense lines that no one has reviewed in five years.
  • Capital plan management. We build and maintain a three-to-five year capital plan and ensure capital reserves are aligned to actual building needs.
  • Hold-sell-refinance analysis. Annually, we run a hold versus sell versus refinance analysis on the property and present the recommendation.
  • Property manager accountability. We are the principal's voice in the conversation with the property manager. Calls that should be coming from the owner but that the owner does not have time or appetite to make come from us.

 HOW WE WORK

Engagement model

Asset Management Oversight is a recurring monthly engagement, billed monthly, with a 90-day initial period and a 30-day notice thereafter. We aim for multi-year client relationships. Most engagements settle into a rhythm of monthly reviews, quarterly deep-dives, annual hold-sell-refinance analysis, and on-call availability for specific decisions.

PRICING

What this costs

Asset Management Oversight is typically priced at a flat monthly retainer per property, in the range of $2,500 to $7,500 per property per month, depending on property size, complexity, and the depth of involvement required. Portfolio engagements covering multiple properties are typically priced at a portfolio rate that reflects the operating leverage. All engagements are scoped and quoted in writing before any work begins.

WHY US — Credibility Anchor

We own and operate a mixed-use urban and suburban apartment and retail portfolio across Greater Philadelphia today. We know what a well-run building looks like because we run them. We know what a property manager does well and what they do poorly because we have hired, fired, and replaced them. We are currently making these decisions for our own portfolio. The oversight we provide for yours is informed by sitting on the owner's side of this exact conversation, every week, on our own.

RELATED WORK

Asset Management Oversight is informed every week by our own active practice. Revolution owns and operates a mixed-use urban and suburban apartment and retail portfolio across Greater Philadelphia today. We review the rent rolls, run the renewal cadence, audit the operating expenses, manage the capital plan, and hold our own property management accountable on the same standards we apply to client portfolios. We are currently making these decisions for our own portfolio. We can help you make the same decisions for yours. Asset management discipline also appears in our multi-service engagements — see the Millstone Spirits Group case study for how it integrates with the strategic, acquisition, and owner's-rep work across a multi-state consolidation.

If you have a real estate decision in front of you, let's talk about it.
